As a result of the problems encountered during renewal of our Insurance Cover at the end of 2006 your attention needs to be drawn to the following guidelines, they are generally covered by our existing rules and regulations but unfortunately have not always been fully enforced.
1) Organisers must be full TLI members, membership is issued free of charge to organisers on receipt of a completed application form by the Region Membership Secretary.
2) A completed Event Application form must be received by the Region Secretary before an event can be accepted for the TLI programme. If the application is after the advertised closing date for Event Applications the Region Secretary should check with the TLI Cycling Insurance Dept. c/o 24 Crescent Road, Hale Altrincham, Cheshire. WA15 9NA to ensure it can be covered by our Insurance before accepting it.
3) Copies of the Police Application form*, Police Permission for events on the Public Highway*, and the now compulsory Risk Assessment for the course must be with the Region Secretary before the event can be held. The Region Secretary should retain these forms for at least one year from the event date.
4) Signing On sheets must carry the TLI disclaimer, the body of the form can if neccesary be changed to suit the event requirements but the disclaimer must be used unchanged.
The insurance company has made it clear that failure to comply with the conditions 1 – 4 could result in the cancellation of the cover for the event.
5) Within 7 days of the event the race levies and copies of the signing on sheets plus completed Day Membership entry forms for all non members who took part in the event should be sent by organisers to the Region Treasurer. The copy signing on sheets serve two purposes, a) to check that the correct amount has been sent and, b) proof if needed that the correct disclaimer has been used.
Finally, and hopefully it will not have to be used, but if there is an incident in an event the Injury / Accident form should be completed and forwarded to the TLI Cycling Insurance Dept. 24 Crescent Road, Hale Altrincham, Cheshire. WA15 9NA without delay. Organisers must be aware of and comply with this requirement.
Condition 3 - * not applicable to offroad events, only the Risk assessment required by the Region Secretary for these
Region Secretaries, Organisers and competitors are reminded that all events, including handicaps, promoted under TLI Cycling regulations must be run in accordance with our age related categories. Our insurance cover is provided on this condition and non observance of this requirement or indeed of any of the TLI Cycling Rules and Regulations as laid out in the Promoters Pack may well result in the withdrawal of cover.

Categorisation
TLI Cycling Events are organised in age categories. Such categories are determined by a) the competitor’s age on the day of the event and b) in the case of any dispute on age or gender grounds, by the details entered on the competitor’s original birth certificate. New members usually commence in the category defined by their age but may apply to be temporarily reclassified at any time to a slower group if struggling to compete in their peer group *

Several different organisations have contacted TLI Cycling with details of their schemes for collecting entries online for events in return for a percentage of the entry fees received.
Most of our organisers will probably feel that the normal number of entries we receive are not worth the hassle of operating through a third party but for those who may be interested here are a few addresses.
